Types of Personal Information we collect
Generally, the only personal information we collect is contact details of representatives of:
- customers,
- prospective customers,
- partners, and
- other individuals interested in receiving information from Optimo Ltd.
This includes details such as their names, addresses, telephone numbers and email addresses. We also record information concerning transactions that individuals make or wish to make with Optimo Ltd and as well as information concerning customer preferences and satisfaction with Optimo Ltd’s products and services.

Optimo Ltd’s Compliance Commitment
Generally, Optimo Ltd will only collect personal information when necessary to provide a specific service or function. This includes Optimo Ltd product and event information and software upgrade information.
Where practicable, when this personal information is collected it is done so directly from the individual, either by phone, over the Internet or in person. We may also collect personal information indirectly such as where one customer representative gives us details of another customer representative.

Data Security
Optimo Ltd will take reasonable steps to protect the personal information we hold from misuse and loss and from unauthorised access, modification or disclosure. Optimo Ltd stores personal information in various secure electronic storage facilities and paper-based files.Optimo Ltd will also take reasonable steps to destroy or permanently de-identify personal information if it is no longer needed for any purpose for which the information may be used or disclosed.

Access and Correction

- an enforcement body performing a lawful security function asks Optimo Ltd not to provide access to the information on the basis that providing access would be likely to cause damage to the security of the country.
However, where providing access would reveal evaluative information generated within Optimo Ltd in connection with a commercially sensitive decision making process, Optimo Ltd may give the individual an explanation for the commercially sensitive decision rather than direct access to the information.
If Optimo Ltd is not required to provide the individual with access to the information because of one or more of the above paragraphs Optimo Ltd will, if reasonable, consider whether the use of mutually agreed intermediaries would allow sufficient access to meet the needs of both parties.
If Optimo Ltd charges for providing access to personal information, those charges:

Identifiers
Optimo Ltd does not use identifiers such as Tax File Numbers to identify individuals.

Where lawful and practicable, Optimo Ltd will provide individuals with the option of not identifying themselves when providing personal information.
Transborder Data Flows
Optimo Ltd may transfer personal information about an individual to someone (other than Optimo Ltd or the individual) who is in a foreign country only if:

Sensitive Information
Generally Optimo Ltd does not collect sensitive information. In the event Optimo Ltd does wish to collect sensitive information however, we will not do so unless:

- the collection is required by law; or
- the collection is necessary to prevent or lessen a serious and imminent threat to the life or health of any individual, where the individual whom the information concerns
- is physically or legally incapable of giving consent to the collection;

Complaints Management
Individuals are to direct all complaints to Optimo Ltd’s privacy officer.
To be removed from a distribution list:
- Optimo Ltd requires this request to be advised in writing via email, letter or fax.
- Optimo Ltd will notify all departments within Optimo Ltd to remove the individual from distribution lists.
- Optimo Ltd will advise the individual in writing that this request has been actioned.

Access to Personal Information held by Optimo Ltd
When an individual requests access to their personal information, Optimo Ltd will:
- take all reasonable endeavors to take action within 30 days of receipt of notification from the individual;
- require individuals to provide written notification to access personal information held by Optimo Ltd;
- evaluate the request for access to determine motivation for requesting access: e.g. is the request frivolous or vexatious?
For a valid request, Optimo Ltd’s privacy officer will:
- inform all relevant departments that this individual has requested to access the information held;
- consolidate all of the information;
- discuss with the individual how they would like to view this information:
- If personally, Optimo Ltd’s privacy officer and the individual will arrange a meeting time and place;
